Real Estate provides comprehensive support for managing the University鈥檚 real estate transactions and property portfolio, including oversight of the UM System鈥檚 cellular antenna sites. 

Beyond cellular site management, the office delivers a full suite of real estate services, from appraisal review and contract preparation to donation acceptance and official record maintenance.  

Staff work closely with campus real estate coordinators, General Counsel and other University partners to negotiate contracts, safeguard University interests, maintain accurate property records and track all real estate actions. 

UM Real Estate also participates in national professional organizations such as AUREO, ensuring the University stays aligned with best practices in higher鈥慹ducation real estate management.

Campus advancement offices and/or campus development offices are the primary contacts for donations of property. Campuses must do due diligence to avoid acceptance of undesirable properties or offers that impose obligations that are not in the best interests of the University. The General Counsel must be consulted regarding the legal structure of any agreement for the gift of property. Real Estate serves as a facilitator in communications among development, General Counsel and campus coordinators as gift plans are formulated. 

 

Real Estate manages the University System's cellular antenna portfolio and assists with new agreements, existing agreements and equipment improvement/modification requests.

Requests for a new cellular site or a modification of existing equipment requires the following form: 

Current or prospective tenants may submit inquiries and/or modification/improvement requests to Real Estate at umrealestate@umsystem.edu or by mail at 118 University Hall, Attn: Real Estate, Columbia, MO 65211. 

All real estate contracts, with the exception of standard forms delegated to designated campus administrators, require:

Real Estate consults with the campus coordinator and University staff during the preparation and negotiation of contracts. Direct contracts, whether in draft or final form, to the campus real estate coordinator where they will be logged, tracked and routed for review and execution. 

Real Estate works with the General Counsel staff to prepare, review and finalize contracts accurately and promptly. The purposes of the review are to: 

  • Determine the necessity of a property acquisition or lease from others. 
  • Assure that cost to the University is minimized or that revenue or benefit to the University is maximized. 
  • When necessary, assure that an appropriate business plan is in place. 
  • Include all necessary terms and conditions while eliminating unacceptable terms and conditions. 
  • Verify accuracy of legal descriptions. 
  • Identify contracts that require Board of Curators approval. 

Hard Copy Records

Real Estate obtains and maintains final, fully executed, notarized and recorded (when necessary) real estate documents and supplemental information. Official documents consist of sales/purchase contracts, amendments to contracts, leases, deeds, title insurance, easements, court records, wills, use restrictions by donors and listing agreements. Real Estate also maintains files related to mineral rights. 

Supplemental information in the files may include maps, appraisals, Board of Curators materials, environmental reports, surveys and correspondence. Files are stored at the University Records Center. Real Estate maintains a log of all real estate contracts, which records when contracts are received, reviewed, executed and to whom copies are distributed. 

Real Estate Database

Real Estate maintains a database that contains information about all properties ever owned by the University. This data includes information about acquisition, use and disposition of all properties. 

Real Estate receives notification from the campus real estate coordinator when a closing has occurred on a real estate acquisition or sale, or when a contract for a lease that was approved by the Board is fully executed. Real Estate prepares and issues a notification, which includes the land/building valuation split so this can be included in the PeopleSoft Asset Management database.

is a national organization created to allow higher education real estate officers to assist each other by sharing their experiences. Real Estate staff have been active participants since the inception of AUREO. An annual conference is held at a higher education institution each fall. There is also an AUREO listserv.

Some real estate actions require Board of Curators approval. Collected Rules and Regulations, Section 70.050: Real Estate, Licenses and Rights-of-Way specifies which items require this approval. 

Real Estate assists the campus real estate coordinators and management services in preparing the documents necessary for Board approval. These recommendations are presented to the Board through the Finance Committee. 

Board of Curators Meeting Schedule

Most purchases or sales of real estate require one appraisal, which are arranged by local campus real estate coordinators. Following the appraisal, Real Estate analyzes and advises campus coordinators on various aspects of obtaining and using appraisals to negotiate University contracts.

Please submit the appropriate approval form (with signatures of the Business & Finance Officer and College/School Dean or Non-Academic Division Leader only) to your campus real estate coordinator to begin a real estate request. 

The campus real estate coordinator will seek Chancellor/Vice Chancellor of Finance approval on your behalf. Please allow 2-3 weeks minimum for standard processing. Processing time may vary depending on the complexity of the request and current transaction volume.

  • : For any new lease when location and (most) lease terms are known.
  • : To revise the terms of an existing lease
  • : If department has a need to ease or purchase off-campus space but the specific location has not yet been identified and/or lease terms are unknown.
